Beverage Machinery Supplier Selection Checklist

Compare beverage machinery suppliers against the same product, package and accepted-output requirements. Request evidence tied to your proposed configuration, record missing information explicitly, and settle equipment and service responsibilities before treating quotations as equivalent.

Give every supplier the same comparison brief

Build a controlled RFQ with a revision date. Include the beverage/process requirements, bottle or can and closure drawings, required accepted output per SKU, operating schedule, site layout, available utilities and destination. Separate approved launch formats from provisional future options.

Request deviations in a separate list. A supplier that changes the reference bottle, removes a process module or assumes buyer-supplied utilities should show that change clearly. Without a common brief, a shorter equipment list can appear attractive simply because essential scope is missing.

Keep company and contracting roles explicit. Identify the legal contracting entity, the manufacturer of each major module, the line-integration responsibility and the party providing installation and support. A manufacturer, integrator and sourcing company can have different responsibilities; the proposal should say who performs each task.

Use an evidence matrix for supplier evaluation

Treat a brochure, machine video or logo as a starting point for questions. Ask which exact model, materials, package and operating conditions the evidence represents. A document relating to another entity or product should not be counted as proof for the quoted equipment.

Normalize quotations before comparing totals

Illustrative example: Offer A lists a filler-capper at a reference 500 mL bottle. Offer B lists filling, labeling, packing and coordinated line testing. Even if both show the same BPH, they describe different deliverables. Ask A to state the missing modules and ask both suppliers for the same accepted finished-pack output and test basis.

  • Put each required module on a separate row and mark included, optional, buyer-supplied or unanswered.
  • Compare format tooling and mold sets against the approved launch list.
  • Separate equipment supply from site works, interconnecting services, freight and installation support.
  • Record the reference product, package, utilities and operating conditions beside each performance statement.
  • Track open questions with an owner and closure evidence rather than assigning an invented capability score.

Use unresolved requirements as decision gates. For example, a mandatory package outside the proposed range or an unassigned filler-to-packer interface needs resolution before technical selection. A favorable total price does not answer an unresolved process or scope question.

Agree FAT, SAT and handover deliverables early

Factory acceptance testing (FAT) checks the agreed items before shipment. Site acceptance testing (SAT) checks the installed system under the agreed site conditions. Define what each test proves, the materials required, sampling and measurement methods, pass criteria and how unresolved items are recorded.

If the factory test uses substitute bottles or product, identify the affected tests and the site evidence still required. Keep the approved proposal, drawing revisions and acceptance records connected so the supplied configuration can be checked against the selection decision.

Prepare a traceable configuration request

Send the controlled RFQ, package drawings and marked supplier-comparison sheet with the unanswered items. Should I choose a supplier only because it owns a factory?

Factory ownership alone does not establish fit for a complete project. Verify the quoted equipment, product/package capability, integration responsibilities, acceptance evidence and support scope, and identify the contracting and manufacturing parties.

How can I compare suppliers without identical quotations?

Issue the same revised RFQ and normalize each response into included, optional, buyer-supplied and unanswered items. Compare performance only under the same product, package, operating and acceptance conditions.

What if production samples are unavailable for FAT?

Agree the substitute materials and record exactly which tests they can support. Assign the remaining product/package acceptance items to a defined later test with responsible parties and pass criteria.
